A Peppol ID is a unique identifier that allows you to be recognized on the Peppol network. It works like a telephone number within a telecommunications network. In Belgium, a company is usually registered with at least its company number (from the Crossroads Bank for Enterprises).
A Peppol ID consists of:
- A prefix indicating the type of identification (e.g. 0208 for company numbers in Belgium)
- The actual identification, such as the company number
Note: In the past, Belgian companies could have two Peppol IDs: one based on their company number (with code 0208) and one based on their VAT number (with code 9925 followed by the VAT number). Since 2024, the use of identifiers with code 9925 is no longer allowed.
Invoices addressed to individuals are not covered by the Peppol regulations. However, it is necessary to register your company on the Peppol network in order to receive electronic invoices from suppliers using this channel. This ensures centralized and legally compliant management of your invoices.
You can only be registered with one access point to receive invoices through Peppol. However, you can use multiple service providers for sending electronic invoices, especially in B2B transactions.
Yes, you can still prepare invoices in Excel or Word. However, to send them over the Peppol network, they must be converted to the standardized UBL (Universal Business Language) format used by Peppol.
The steps are as follows:
- Export the invoice to PDF format.
- Import the PDF file into Billtobox, where it is processed via OCR (optical character recognition) technology.
- Send the invoice via Billtobox, which converts the document to the required electronic format for transmission over the Peppol network.
This allows you to continue using your usual tools and still meet the requirements of electronic invoicing.
